1) Prerequisites
- Mental Health Treatment Plan (MHTP) and GP referral (current and valid).
- Client completes Intake Form (18+ or Under 18).
2) Session Entitlement
- 10 Medicare-funded sessions per calendar year:
- Initial: 6 sessions
- Additional: 4 sessions after psychologist review letter to GP (ideally sent after the 5th/6th session)
- Complex/Chronic care: GP may approve additional care pathways (lower rebate, higher out-of-pocket cost)
3) Fees (2025)
- Kindly visit Fees page for the updated fees
- Cancellation: $90 (24 hours’ notice)
4) Approval & Bookings
- Client must have Medicare, GP referral, and MHTP to claim rebates.
- Choose billing code according to clinician type and consultation mode.
5) Adding Referrals (Halaxy)
- Client General page → Attachments → Add files → upload referral/MHTP → select “General / Administrative” → Save.
- Funding tab → Add Referral → enter details.
6) Disclosures & Communications
- Send confirmation email on booking.
- Send SMS reminder before appointment.
- Cancellation policy: 24 hours’ notice (fees as above).
- Send Intake Form (age-appropriate).
Notes
- Medicare billing applies to Registered Psychologists (Clinical or General). Not available for Counsellors or Provisionals.
- Add concise onboarding note (e.g., “14/11 JB – Onboarded. Medicare docs added.”).
- Rebates and codes may change yearly — always check current MBS schedule.
